How to Use the "Limit Maximum Leave Balance" Setting

The Limit Maximum Leave Balance setting helps you control how much leave a user can accumulate over time. Once a user reaches the specified limit, they will stop accruing additional leave, and any rollover days that would exceed the cap will not be added. This helps keep leave liabilities in check and encourages regular time off.


What the Setting Does

When you set a Maximum Leave Days limit (e.g., 20 days), Flamingo® will:

  • Stop adding new leave once a user's balance reaches the limit.
  • Prevent accruals or rollovers from increasing the user’s balance beyond that cap.

Example:

If the limit is 20 days and a user currently has 19 days, then accrues 2 more days — only 1 day will be added.

If they're already at 20 days, no new leave will accrue until their balance drops below the limit.


Where to Set It

You can configure this limit at two levels:

1. Per Leave Policy (Team-Wide Setting)

To apply the limit to everyone in a team:

  • Go to Settings.
  • Go to Teams.
  • Click the 3 vertical dots next to your team to edit it.


  • Now go to Leave Policy for that team -



  • Click on your desired leave policy -

  • Turn on the toggle for "Limit maximum leave balance"

  • Set the Maximum Leave Days (e.g., 30).
  • Save the changes.

This ensures a consistent leave cap across the entire team.



2. User-Specific Override (Individual Setting)

To apply a different limit for a specific user:

  • Go to the Users page.
  • Click on the user you want to update.
  • Under their Leave Policy, choose the leave policy you want to set a limit on.

  • Make sure you have clicked the Override Policy and turn on the "Limit maximum leave balance" toggle -


  • Save your changes.

Useful for anyone with a custom agreement.


Best Practices

  • Keep users informed: Make sure employees understand that once they hit the cap, leave will stop accruing.
  • Use Leave Reports: Review Flamingo® Leave Reports to identify users at or near their balance limit and encourage time off.

FAQs

Q: What happens to rollover leave that would exceed the limit?

A: It won’t be added. For example, if a user has 18 days and rolls over 5 more, only 2 days will be added to reach the 20-day cap.

Q: Does leave start accruing again if the balance drops below the cap?

A: Yes — once the balance goes below the limit (e.g., the user takes leave), Flamingo® will begin accruing new leave again automatically at the next accrual or rollover date.
